Most people only ever see the after. The photos. The video clip of her turning around with her hands over her mouth. The yes. What they don’t see is everything that happened in the hours before; the planning, the problem-solving, the quiet orchestration that makes a moment like that possible.
We’ve been asked before: what do you actually do on the day? So here’s the honest answer, from the morning to the moment the song starts playing.
MORNING
Gabe packs the car. Something gets forgotten.
Every proposal day starts the same way. Gabe loads the car with everything we need while I sit down with your Couple’s Profile; the special details you shared with us during planning. I read it carefully. Not as a checklist, but as a reminder of who you are and what this moment means to you specifically. The details you gave us don’t just inform the setup. They shape everything.

EN ROUTE
We leave early. On purpose.
We aim to arrive at the venue at least two and a half hours before she does. Not just because setup takes that long but because Trinidad has a way of reminding you that plans are suggestions. Traffic. A venue that needs a small adjustment. The one thing Gabe definitely packed this time but somehow still managed to leave behind. We build in the buffer so that none of that becomes your problem.

AT THE VENUE
The Team meets and we get to work. It’s rarely straightforward.
Some of these venue owners we’ve known for years. There’s a warmth to arriving somewhere familiar, a quick conversation before we get into it. Then the setup begins, and this is where experience matters most. Wind changes a layout. A light isn’t catching the way we planned. Something needs adjusting. We tweak as we go, and we don’t stop until it’s right. The vision we agreed on is the vision you’re going to see.

FINAL CHECKS
This is where we make sure everything is actually ready.
The cold spark machines need to be working, the MARRY ME sign needs to be straight, the arch needs to be level, and everything needs to be centred, beautiful and intentional. This is also when the photographer gets his pre-shots, capturing the setup before anyone arrives.
Since most of our proposals happen outdoors, we have to account for the elements, too. We make our final adjustments and check that everything is ready before the couple arrives. We usually aim to wrap up about 15 minutes beforehand.

THE WAIT
I’m keeping an eye on the arrival time.
Some clients share their live location with us, while others let us know when they’re about 10 minutes away. Once you’re close, we get the song ready and everyone takes their position. The photographer is ready, and if Gabe is covering video that day, he’s on camera, too.
Now we just have to wait for the moment we’ve been planning for.

THE PROPOSAL
We stay back and let the moment happen.
This is important to us. We’ve seen instances where a client’s photographer pauses a proposal mid-moment to get a particular shot or angle. We understand wanting to get the perfect shot, but we don’t believe the moment should have to stop for the camera. Our approach is to let the proposal unfold naturally. We capture what we can without interrupting, giving the couple room to experience what’s happening. There will be time for posed shots afterwards. The actual proposal only happens once, and we’d rather capture it as it happens than interrupt it trying to recreate it.

AFTER THE YES
This is the fun part. The Afterglow
These days, some of our clients come with ideas for clips they’d like us to capture, including TikTok trends they’ve saved. We try to work those in, but we’re also looking for the moments that happen naturally. The laughter, the hugs, the disbelief, the way they look at each other when it finally sinks in that they’re engaged. Those are the moments we want them to be able to revisit years from now.
And there’s another reason we love capturing these clips. Not everyone wants their crying face or most emotional moments all over the internet. Sometimes you want to share a beautiful video of the day without sharing every private moment that came with it. Having those clips gives you options. You can share the fun ones, keep the more personal ones for yourselves, and revisit the experience whenever you want.
We call these moments Afterglow, and they’re a reminder that the story doesn’t end with the yes.

PACKDOWN
First in. Last out. And we’re usually racing the clock.
Once the celebration is over, it’s time to pack everything away. Our glassware and equipment are fragile, so everything has to be handled carefully. We also have to work around the venue’s closing time, which means there’s usually a deadline to beat.
Sometimes clients ask if we need help. We just say no. Lol. We’re used to handling our own equipment, and by this point, we’re focused on getting everything packed safely and leaving the venue as agreed. And since we’re being honest about what happens on proposal day, yes, Gabe sometimes forgets things that we have to go back for the next day. It happens. We just try to make sure it’s nothing we need for the next proposal.

Ready to Start Planning?
And that’s what proposal day looks like for us. It’s an early start, a lot of moving parts, a few last-minute adjustments and sometimes a forgotten item or two. But somewhere between loading the car and packing it back up, we get to witness one of the most important moments in a couple’s story.
So the next time you see a beautiful proposal setup or a clip of her saying yes, remember there’s a whole lot that happens before and after that moment. And if you’re planning to pop the question, we’ll be happy to take care of the details while you focus on the question that matters most.
